API Keys & Credentials Handling
During the building and testing phase of your AI Agent, WhiteMoon AI uses its own testing credentials and API keys. We do not require or request your personal API keys during this stage.
Once your AI Agent is fully built, tested, and ready for delivery, we will:
- Guide you step-by-step on which specific API keys you need and exactly where to obtain them
- Walk you through the entire setup process so you are never left confused
- Integrate your API keys into the final AI Agent in an encrypted and secure form
- Ensure your credentials are embedded correctly so the system runs entirely under your control
Your API keys are only used to connect your AI Agent to the platforms and services it needs to operate. They are never stored by WhiteMoon AI after delivery, never shared with any third party, and never used for any purpose beyond your specific project.
During the build phase we use our own credentials. Your credentials are only introduced at delivery — and we handle that transition with full guidance so you never have to worry about the technical side.
Data Storage & Security
Any information you share with us is kept securely. We do not store your personal information on public servers or databases. Communication is handled through encrypted channels including Gmail and WhatsApp.
As we are not a registered company, we operate under our professional commitment to confidentiality. Any client project details, business workflows, or sensitive information shared with us will never be disclosed to third parties.
Real-Testing Week & Error Resolution Policy
Every AI Agent we deliver goes through a dedicated Real-Testing Week before final payment is released. Here is exactly how this works:
- 80% Payment Hold: During the Real-Testing Week, 80% of the total project payment remains held and will not be released until the system passes testing with 98–99% accuracy.
- If Errors Are Found: If the AI Agent shows errors, unexpected behavior, or does not perform as agreed, we do not simply ask you to accept it. We collect a full, structured error report from you.
- Error Report We Collect: The error report includes — what type of errors appear, when and under what conditions they occur, how frequently they occur, which edge cases or scenarios trigger issues, any notes or observations from your team, and what kind of auditing or review you believe is needed.
- Revision & Fix Cycle: After receiving your error report, we go back and fix, revise, and rebuild every identified issue. We do not guess — we work from your exact documented observations.
- Weekly Testing: After each fix cycle, we re-enter a testing phase. This continues on a weekly basis until the system performs at 98–99% accuracy under real working conditions.
- Payment Release: The 80% is only released once you confirm the system is working correctly and meets what was agreed in the Initial Project Contract.
Our goal is simple — the system works or we fix it. You are protected by the 80% hold until that standard is met.
Refund Eligibility
Refunds are only applicable under the following clearly defined conditions:
- Remaining 20% Refund: If after all revision cycles the system still does not perform at the agreed standard, the remaining 20% will be fully refunded.
- Full Refund (Main Payment): A full refund including the main project payment is only issued if WhiteMoon AI has completely failed to build the AI Agent that was agreed upon in the Initial Project Contract — meaning the core deliverable was never produced at all.
- Serious Grounds Required: Full refund claims require documented proof that the agreed deliverable was never built or that we failed to make any reasonable progress despite multiple revision cycles.
- Not Eligible for Refund: Minor bugs, edge case errors, third-party platform outages, or performance issues that fall within acceptable margins are handled through the revision cycle — not refunds.
We stand behind our work. The Real-Testing Week and revision cycle exist so you never need to ask for a refund — because the system will work. But if we genuinely fail to deliver what was contracted, you are fully protected.

- Ask us to delete your information at any time
- Opt out of any further communication from us
- Request corrections to any information we have on file
