Agreement to Terms
By accessing our website at whitemoon-ai.site or engaging with WhiteMoon AI for any services, you agree to be bound by these Terms of Service. If you do not agree to these terms, please do not use our services.
WhiteMoon AI is an AI-Systems Development Studio operating from Pakistan, providing custom AI automation services to clients internationally, primarily in the USA and China.
Services We Provide
WhiteMoon AI provides the following services:
- Custom AI automation systems built with N8N and Claude AI
- AI agent development for USA Real Estate Agencies
- AI workflow automation for China-Based Sourcing Companies
- CRM integrations, lead automation, and communication systems
- Supplier outreach, order tracking, and document management automation
- Consultation calls and technical discovery sessions via Zoom
Every system we build is custom — built from scratch for your business. We do not use templates or repackage existing tools.
Project Engagement & Payments
All projects begin with a free 30-minute discovery call. After the call:
- We provide a custom quote within 24 hours
- Projects begin only after written confirmation and agreed payment terms
- Payment terms will be agreed upon individually per project
- We accept payment via bank transfer or agreed digital payment methods
Prices are quoted in USD unless otherwise agreed. WhiteMoon AI reserves the right to adjust pricing for future projects but will always honor quotes given for confirmed work.
AI Agent Delivery Options
When your AI Agent is ready, we offer two delivery methods — you choose what works best for you:
- Option 1 — Built Directly On Your Account: We build and set up the entire AI Agent directly inside your own N8N account or platform. You have full ownership and visibility from day one. This requires temporary access to your account during the build phase.
- Option 2 — Built On Our Server, Delivered as File: We build and fully test the AI Agent on our own server. Once complete, we export it as a JSON file which you can import into your own N8N account in minutes. We guide you through the import process step by step.
Both options result in the same final system — fully yours, fully functional. The choice is about where it gets built, not what you receive.
API Keys & Credentials Process
Building an AI Agent requires connecting to various platforms and services via API keys. Here is exactly how we handle this:
- During Build & Testing: WhiteMoon AI uses its own internal credentials and API keys. We do not ask for your personal API keys at this stage. Your business data and accounts are not touched until you are ready.
- At Delivery: Once the AI Agent is fully built and tested, we provide you with a clear, step-by-step guide on exactly which API keys you need, which platforms to get them from, and how to do it — even if you have zero technical knowledge.
- Integration: We then integrate your API keys into the final AI Agent in an encrypted and secure format. Your credentials are embedded directly into your system so everything runs under your ownership.
- After Delivery: WhiteMoon AI does not retain, store, or have any further access to your API keys after the project is complete.
You never have to figure out the technical parts alone. We handle the build with our own credentials, and walk you through getting yours only when the system is ready. Your credentials go into your system — not ours.
By engaging our services, you agree that any temporary access or credentials shared during a project are used solely for that project and will be treated with full confidentiality.
Refund Policy
Due to the custom nature of all our work, refunds are handled on a case-by-case basis:
- If a project has not started, a full refund will be issued
- If work has begun, a partial refund may be issued depending on work completed
- If a system has been fully delivered and accepted, no refund will be issued
- If we fail to deliver what was agreed, we will fix the issue or offer a partial refund
All refund requests must be made in writing via email within 7 days of the issue arising.
Real-Testing Week & Error Resolution Policy
Every AI Agent we deliver goes through a dedicated Real-Testing Week before final payment is released. Here is exactly how this works:
- 80% Payment Hold: During the Real-Testing Week, 80% of the total project payment remains held and will not be released until the system passes testing with 98–99% accuracy.
- If Errors Are Found: If the AI Agent shows errors, unexpected behavior, or does not perform as agreed, we do not simply ask you to accept it. We collect a full, structured error report from you.
- Error Report We Collect: The error report includes — what type of errors appear, when and under what conditions they occur, how frequently they occur, which edge cases or scenarios trigger issues, any notes or observations from your team, and what kind of auditing or review you believe is needed.
- Revision & Fix Cycle: After receiving your error report, we go back and fix, revise, and rebuild every identified issue. We do not guess — we work from your exact documented observations.
- Weekly Testing: After each fix cycle, we re-enter a testing phase. This continues on a weekly basis until the system performs at 98–99% accuracy under real working conditions.
- Payment Release: The 80% is only released once you confirm the system is working correctly and meets what was agreed in the Initial Project Contract.
Our goal is simple — the system works or we fix it. You are protected by the 80% hold until that standard is met.
Refund Eligibility
Refunds are only applicable under the following clearly defined conditions:
- Remaining 20% Refund: If after all revision cycles the system still does not perform at the agreed standard, the remaining 20% will be fully refunded.
- Full Refund (Main Payment): A full refund including the main project payment is only issued if WhiteMoon AI has completely failed to build the AI Agent that was agreed upon in the Initial Project Contract — meaning the core deliverable was never produced at all.
- Serious Grounds Required: Full refund claims require documented proof that the agreed deliverable was never built or that we failed to make any reasonable progress despite multiple revision cycles.
- Not Eligible for Refund: Minor bugs, edge case errors, third-party platform outages, or performance issues that fall within acceptable margins are handled through the revision cycle — not refunds.
We stand behind our work. The Real-Testing Week and revision cycle exist so you never need to ask for a refund — because the system will work. But if we genuinely fail to deliver what was contracted, you are fully protected.
Intellectual Property
Upon full payment, the client owns the final delivered automation system and its workflows.
- WhiteMoon AI retains the right to reference the project type (not specifics) in our portfolio
- Client business data, workflows, and internal processes remain fully confidential
- We do not share, sell, or repurpose any proprietary client information
- Any code, prompts, or systems created as part of the project belong to the client after delivery
Client Responsibilities
For a successful project, clients agree to:
- Provide accurate and complete information about their business and requirements
- Respond to our questions and feedback in a timely manner
- Provide access to required platforms, tools, or CRM systems as needed
- Review and test delivered work within the agreed timeframe
- Not use our systems for any illegal, harmful, or unethical purpose
Limitation of Liability
WhiteMoon AI will always work to deliver reliable, high-quality systems. However:
- We are not liable for losses caused by third-party platform outages (N8N, Claude AI, etc.)
- We are not liable for indirect or consequential business losses
- Our liability is limited to the amount paid for the specific project in question
- We do not guarantee specific business outcomes (leads, revenue, conversions)
We build systems that work. But business results depend on many factors beyond our control. We build the tool — you use it.
Confidentiality
Both parties agree to keep confidential any proprietary information shared during the project engagement. WhiteMoon AI will never disclose your business data, workflows, client lists, or operational details to any third party without your written permission.
Termination
Either party may terminate a project engagement with written notice. In this case:
- All completed work up to that point must be paid for
- Any confidential information shared must remain protected by both parties
- Access to shared tools or platforms should be revoked by the client after completion
Governing Law
These Terms of Service are governed by the laws of Pakistan. Any disputes will be resolved through direct negotiation between both parties in good faith. We are committed to resolving any issues professionally and fairly.
Changes to These Terms
We may update these Terms of Service from time to time. Any changes will be posted on this page with an updated date. Continued use of our services after changes are posted constitutes your acceptance of the new terms.
